Opening Ritual was led by President Mary Stanton.
Corresponding Secretary-Linda Richardson introduced our Guests: Alphi Chi, Laureate Alpha and Preceptor Iota.
March guest chapters will be: Laureate Alpha Sigma, Preceptor Rho and Upsilon Master.
Roll call was taken by Recording Secretary Pat Moncayo. 20 chapters were present with 35 members-the quorum was met.
Minutes: Approved . The January minutes had previously been sent to all Chapters and to International.
OFFICERS REPORTS:
President Mary Stanton: The Executive Board met at the home of Janice Swope on January 23, 2012.

2nd Vice President Mary Elliott: Reminder notices to submit the names for Scholarship Applications are in all Chapter Boxes; applications must be turned in by the March meeting.
Corresponding Secretary Linda Richardson: A sympathy card was sent to Upsilon Master upon the death of Treva Ullrich and a thinking of you card sent to Ruth Cook who had shoulder surgery. Chapter birthday cards were sent to Alpha Chi and Beta Psi.

Treasurer Janice Swope: Reported that the Operating Account has $8,025.48--$4551.00 of that balance is the monies for the Valentine Dance registration. There is $5,900.30 in the Bank of America Reserve Account and $5,887.01 in the Bank of America CD account. Copies of the January financials were submitted to all Chapters.
Parliamentarian Carol Pettit: As the theme for 2011-12 is on Traditions, Carol read from the BSP Pledge Book asking all members present if they were following these traditions. She also read an insert from The Torch about the Valentine Queen traditions.

NM State Convention: Georgia Athearn: A sample of the registration form with the logo is in all the Chapter boxes. The final copy will be sent to all Chapter Presidents by the end of the month along with the logo.
Tentative Time Schedule was also put into the Chapter Boxes along with the page for advertisements that will appear in the Program Book.
Georgia stated that the focus is meeting with the sub-committees; the next phase will be working on the programs. She asked members to provide her with any copies of past convention programs. A planning meeting will be held on February 18 to develop the Friday/Saturday night events. The City Council Executive Board will judge the doors. Chris Thorson thanked those who brought gifts for the door prizes—all Chapters are responsible for 5 gifts and should bring them to the March meeting.

The City Council of the Albuquerque Beta Sigma Phi met at Hodgin Elementary School Media Center at 7:00 p.m. The meeting called to order by 1st VP Storm Gonzalez as President Mary Stanton was unable to attend due to weather conditions. All members joined hands for the Opening Ritual.
Corresponding Secretary Linda Richardson introduced guest chapters Psi Master, Beta Psi and Preceptor Alpha; December guest chapters will be Alpha Chi, Preceptor Iota and Preceptor Alpha Omega.
ROLL CALL was taken by Storm Gonzales (Recording Secretary Pat Moncayo was excused); present were __ members from 20 chapters representing a quorum.
MINUTES: Reading of the October 3, 2011 meeting was dispensed with as the minutes are online for all members to read.
OFFICER REPORTS:
President Mary Stanton – Excused.
1st Vice President Storm Gonzalez-All three prospective members have been contacted and invited to join chapters.
2nd Vice President Mary Elliott – The issue of meeting folders being too snug has been resolved—all chapters were reminded to make 31 copies which includes one copy each for CC Board members.

Letters were read to City Council from CC Cross and Laureate Kappa -- to CC Cross, Laureate Kappa and Sisters of Beta Sigma Phi from the Executive Board.
Parliamentarian: Carol Pettit read from the November Torch, the Book of Beta Sigma Phi about the protocol of the Opening and Closing Rituals and Traditions #5 (Honor’s Lunch) and Tradiations #6 (Toys for Tots). She closed with a poem.
Treasurer Janice Swope requested all Chapters to check the CC spreadsheet to ensure their information is correct.
She reported that the Operating Account balance for period ending October 31, 2011 is $2580.20. Outstanding check $40 for Liability Ins. The Money Market account in the amount of $5887.01 was closed into a CD( no-risk 9 mo.) at Bank of America with monthly interest deposited to the Operating Account. $6,900.30 in the reserve account; $2130.50 has been transferred to the State Convention checking account.
COMMITTEE REPORTS:
Executive Board – The Executive Board met on October 17th at the home of Storm Gonzalez; the next meeting will be held on November 21, 2011, 6:30 p.m. at Macaroni Grill.
State Convention – Georgia Athearn discussed the structure of the State Convention Committee.

ALBUQUERQUE BETA SIGMA PHI CITY COUNCIL MINUTES – October 3, 2011
The City Council of the Albuquerque Beta Sigma Phi met at Hodgin Elementary School Media Center at 7:00 p.m. The meeting began with the Opening Ritual.
A Memorial Ritual led by President Mary Stanton was held for departed sister, Joy Medley, Psi Master. After the ritual her chapter sisters, Pat Whittaker and Teresa Griffin shared very fond memories of Joy—a very friendly lady who always had a smile on her face.
Corresponding Secretary Linda Richardson introduced guest chapters Alpha Master, Laureate Kappa and Laureate Alpha Epsilon. November Guest Chapters will be Psi Master, Beta Psi and Preceptor Alpha.
ROLL CALL was taken by Pat Moncayo; present were 40 members from 20 chapters representing a quorum.
MINUTES: By motion from Storm Gonzales, seconded by Mari Bryant, it was voted unanimously to dispense with reading of the August 29, 2011 minutes.
OFFICER REPORTS:
President Mary Stanton- We need to find a Sponsor, not affiliated with BPS, that is an outstanding woman in our community and one that will be active and supportive of our activities. Please let the Executive Board know if a member knows of someone that fits these qualifications.
1st Vice President Storm Gonzalez-Two emails have been sent to Chapters with three prospective members. Storm urged all Chapters to call these three sisters to welcome them to our City Council and invite them to Chapter meetings as a courtesy and gesture of friendship. Potential Members; 1. Marcia Hunt, cell 541-310-8786 Marcia is 52, and relocated to ABQ from Pendleton Oregon. She joined BSP In Alaska. 2. Cherie Jones; 505-263-2960 and 3. Shawnee Williams; is very eager to start in a chapter, and is Ritual Of Jewels. She is in her 30's. Please contact sisters ASAP. They are all eager to start in a chapter, and, will be a wonderful asset to any of your chapters.

Corresponding Secretary Linda Richardson –The list of cards sent to Chapter Sisters was reviewed. Linda asked if any Chapter has a member in need of a card to please log the information into her Corresponding Secretary Red notebook; Chapters were asked to donate Sunshine cards.
Parliamentarian: Carol Pettit read three rules from the Albuquerque City Council’s revised (2008-09) Standing Rules: #11-City Council Woman of the Year to be honored at the Honor’s Luncheon with her meal paid by the Committee; #12-Executive Board and/or President will select a woman from the community to serve as the City Council Sponsor and #13-two legacy memberships will be paid by City Council.
Carol shared that her husband had fallen the day before and the incident reminded her of a BPS Poem “A Husband’s View Point” which she read. A copy of this poem will be sent to all Chapters.
Treasurer Janice Swope requested all Chapters to check the CC spreadsheet to ensure their information is correct. She reported that the Operating Account balance for period ending September 30, 2011 is $2149 (with one $25 outstanding check-Eta Gamma). There is $6,930 in the reserve account which includes profit from 2010-11; $5887 is in the DSW money market which is not accruing income. The $2129.14 allocated for State Convention was re-distributed on September 30 upon roll of the CD. She reported that the 2011-12 budget which is balanced was approved at the August 29th meeting. As of September 30th there were 203 members and the budget is based on 250 members.
A letter has been received from Laureate Kappa regarding the 2011-12 dues increased—this letter will be reviewed at the October 17 Executive Board meeting for discussion and brought before the November 11 CC meeting.
Due are still outstanding from three Chapters (Alpha Omega/Eta Gamma/Laureate Alpha Phi and asked that they be remitted immediately.
A letter regarding Order of the Rose was put in the Chapter boxes—Janice read the letter.
COMMITTEE REPORTS:
Executive Board – The Executive Board met on September 19th at the home of Mary Elliott; the next meeting will be held on October 17th at the home of Storm Gonzalez.
State Convention – Dorothy Martin, Co-Chair, reported that all Board positions have been filled with most of the Chapters requesting their 1st, 2nd and 3rd choices for Committee assignments. This needs to be completed as soon as possible.
Contact –Upsilon Master is responsible for telephone contact and Mary Stanton is doing the email contacts.
Rosters/Website – Mari Bryant reported that the Rosters are in the process of printing; the original printer increased his price so another printer was selected with the cost to be approximately $3.50 per roster. The Rosters will be distributed at the Honor’s Lunch. Discs have been sent to the requesting chapters.

Honor’s Luncheon– Chair Laureate Alpha: Chapters’ checks and reservation sheets must be turned in immediately to either Carol Pettit or Mary Lou Ballard, Laureate Delta, as well as the names of the Valentine Queens and Woman of the Year submitted to Dorothy Martin so they can be included in the program.
Sweetheart Dinner/Dance- Chair Beta Psi: the event will be held at the Tanoan Country Club on Saturday, February 11, 2012 and the $500 deposit made.
Founder’s Day– Chair Xi Alpha: No report. Janice Swope read a communication from International with the names of members eligible for awards.
Mother/Daughter Tea– Chapters need to submit names for Legacy daughters to be drawn at the Honor’s Lunch.

UNFINISHED BUSINESS: Janice Swope asked for a vote to approve the 2012-13 dues increase which was adopted by unanimous vote at the August 29th meeting with members asked to take this back to their Chapters. A motion for final adoption of the 2012-13 dues increase was made by Pat Whittaker with no second; C. C. Cross moved to table this vote, with a second by Mary Gilliand, until a letter from Laureate Kappa, can be reviewed at the October 17th Executive Board meeting with a recommendation to be discussed at the November 11th CC meeting.
The proposal to move the DWS monies to the Bank of America CD was discussed. After the transfer of funds they will become liquid after a seven-day period. It can be determined at a later date if these funds should be transferred elsewhere. Upon motion by Diane LeAnnais and second by Jewell Reid members voted unanimously to accept the recommendation to transfer the DWS monies to the Bank of America CD.
ANNOUNCEMENTS: Upsilon Master has a few Entertainment Books for $35 left to sell; Alpha Chi has Christmas Ornaments for sale at $6; Laureate Alpha Pi and Laureate Alpha Sigma are selling scrubbers and information about Christmas Wreaths (to be delivered at the December meeting) was distributed in Chapter boxes.
Peggy Jourden, Laureate Kappa, reported that Judy and Roger Edwards are now back home and that Roger is doing very well; the Edwards’ thank everyone for their thoughts, prayers and for all the cards they received.
Mary Stanton reminded members of two events that will be held: Splurge-Shopping benefitting the Central NM, affiliate of Susan G. Komen, on October 6th and sign-up BY Alpha Chi members Pat Garcia and Mary Stanton for ABQ BPS Cure-Race volunteers on October 8th, 9:30 a.m. at Coronado Mall.b

The City Council of the Albuquerque Beta Sigma Phi met at Hodgin Elementary School Media Center at 7:00 p.m. The meeting began with the Opening Ritual.
President Mary Stanton stated that the Legacy Tea Committee needs to prepare for the drawing to be held during the Honor’s Lunch on October 29th.
Corresponding Secretary Linda Richardson introduced guest chapters Eta Alpha, Laureate Delta and Epsilon Master. October guest chapters will be Alpha Master, Laureate Kappa and Laureate Alpha Epsilon.
ROLL CALL was taken by Pat Moncayo; present were 42 members from 20 chapters representing a quorum.
MINUTES: By motion from Cinda Fairfield, second by Theresa Griffin, it was voted unanimously to dispense with reading of the May 2, 2011 minutes.
OFFICER REPORTS:
1st Vice President Storm Gonzalez—three prospective members, at the suggestion of members, were contacted during the summer—to date, she has received no response and will follow-up prior to the October meeting.
2nd Vice President Mary Elliott – Scholarship information was distributed to all Chapters in the boxes; recommendations are due by March 15, 2012. She urged members to submit names.
Corresponding Secretary Linda Richardson – 18 cards (chapter birthdays, sympathy and thinking of you) were sent during the summer. She read two thank you letters and advised that the Sunshine Book was being passed around for Chapters to list any member to receive a card. Chapters were asked to donate Sunshine cards.
Peggy Jordan, Laureate Kappa, reported that Judy Edward’s husband is recuperating from heart surgery in Salt Lake City and asked that cards be sent to the Edwards.

Treasurer Janice Swope reported that the Operating Account balance for period ending July 31, 2011 is $1330.37 with one check outstanding. $805.37 was made on events and will be deposited in the Reserve Account on August 30. There is $6,594.93 in the reserve account, $5887.00 in the DSW money market and $2129.14 allocated for State Convention-- these monies will be distributed on September 30 upon roll of the CD. She reported that the 2011-12 proposed budget, which is balanced, had been previously sent to all Chapters. Discussion on dues increase will be held later in the meeting.
Parliamentarian Carol Pettit – the purpose of the parliamentarian was reviewed as well as several articles from the By-laws and Standing rules.
COMMITTEE REPORTS:
Executive Board – no report.
State Convention – Georgia Athearn and Dorothy Martin are serving as Co-chair. Georgia reported that Carol Lindenmuth is moving out-of-state and will not be able to serve as a co-chair. The convention theme is “Women’s role in 100 years of Statehood.” Georgia reviewed convention information which was handed out to all members. She asked that Chapters review the list of committees and advise either her or Dorothy on what they would like to do.
Contact – Epsilon Master and Upsilon Master: Ruth Cook gave us the very sad news that Epsilon Master is disbanding and all members becoming Members at Large. Ruth received a standing ovation for the service and dedication she has given over the years. Upsilon Master will be responsible for telephone contact and Mary Stanton will take over the email contact.
Rosters/Website – Mari Bryant stated that unfortunately some of the contact information submitted during the summer was lost and requested certain chapters to update their information. The roster should be completed by end of this week—a printer has been found that hopefully will print for approximately $2 per roster. Rosters should be distributed at the October 3 meeting; all Chapter roster counts must be submitted to Mari by September 15th. No website report was presented.
Scrapbook – Blank scrapbook pages for 2011-12 were handed out to Chapters present; the City Council scrapbook for Carol Lindenmuth will be presented to her next week—Mary Stanton will attend that meeting.

Service (Toys for Tots) – Preceptor Alpha Omega – Toys for Tots flyers will be distributed at the October meeting and collection of toys will take place in November.

Honor’s Luncheon – Chair – Laureate Alpha: invitations for the October 29th event to be held at the Marriott Pyramid have been distributed. Names of Chapter’s Woman of the Year and Valentine Queen need to be submitted to Dorothy Martin. Laureate Delta will be handling reservations and cancellations.
Sweetheart Dinner/Dance Chair – Beta Psi, Eta Alpha, Eta Gamma and Delta Omega – the committee is in process of finding a location.

UNFINISHED BUSINESS: Janice Swope read a letter in regard to dues increase for 2012-13; after discussion, a motion was made by Pat Whitaker, Psi Master, seconded by Carole Curry, Preceptor Rho to increase the 2012-13 dues to $7 per member and $3 for scholarship. This motion was passed by unanimous vote. (A copy is attached to the Recording Secretary’s files).
The proposed 2011-12 budget was reviewed by Janice Swope and will be presented again in October for final vote at the November meeting. All members should review the proposed budget with their individual chapters. The budget was accepted as presented.

The City Council of the Albuquerque Beta Sigma Phi met a Hodgin Elementary Media Center at 7:05 p.m. The meeting was began with the Opening Ritual.
SPECIAL GUEST: Phyllis Lincoln, Assistant Principal of Hodgin Elementary School was introduced and given a special thanks of appreciation for letting our City Council use their Media Center for the 2010-11 meetings. Ms. Lincoln was presented with a check from ABQ City Council.
ROLL CALL was taken by Mary Gilliand; present were 40 members from 21 chapters.
MINUTES: Upon motion made and seconded, members voted unanimously to dispense with reading of the April 18, 2011 minutes.
OFFICER REPORTS:

There were five recipients for Order of the Rose (Alpha Master), eight sisters receiving the Silver Circle (Preceptor Alpha), six sisters who received the Golden Circle (Laureate Kappa) and two recipients of the Diamond Circle (Epsilon Master). Chapter Women of the Year were announced and recognized; the City Council Women of the Year are Carol Lindenmuth and Mary Stanton.Mother/Daughter Legacy Tea – Delta Omega/Storm Gonzalez: Storm reminded all sisters of the Tea to be held this Saturday, May 7th from 1-23 pm in the Community Room at the Ronald McDonald House.

Mary Stanton announced that the NAMI Walk will take place on Saturday, May 14th at the Albuquerque Academy—registration begins at 8:00 with the walk to commence at 9:00 a.m.

APRIL 4, 2011
The City Council of the Albuquerque Beta Sigma Phi met at Hodgin Elementary Media Center at 7:04pm.
A Memorial Ritual was held for Kay Heidlebaugh at the April City Council Meeting. Kay passed away on February 11th. Several of Kay’s sorority sisters spoke very highly of Kay and she will be greatly missed.
Mary Stanton introduced the guest chapters for the month of April: Eta Gamma, Preceptor Rho, Laureate Alpha Rho and Laureate Alpha Pi.
ROLL CALL: was taken by Mary Gilliland. 63 members from 25 chapters were present.
MINUTES: It was moved; second and voted on unanimously to dispense with the reading of the March minutes.
OFFICER REPORTS:
1st Vice President – Sandra Hamilton: Did not receive a list from International for potential new members. Lynn Miller from Preceptor Rho introduced Susan Grymanis, she is pledging their chapter. Susan is from Rochester, NY – Welcome Susan to Beta Sigma Phi.2nd Vice President – Georgia Athearn: Has received one scholarship application, she received it on April 7, 2011. It was moved; second and voted on unanimously by the sisters in attendance at the April City Council meeting to accept this application for the 2010-2011 term.
Corresponding Secretary – Mary Stanton read the list of cards that were mailed out during the month of March. She also commented on that she would like all Event Reports turned into her by the May City Council meeting. The List of the cards for the month of March will be emailed by separate cover.

Parliamentarian – Ruth Cook: Review and read the Albuqerque, NM – City Council Traditions that are listed on pages 93 and 94 of the 2010-2011Beta Sigma Phi-Albuquerque, NM roster. We gently reminded all sisters to attend the events since the events are held for the sisters.

Rosters/Website – Janice Swope reported that there are only 3 rosters left at $4.24 a piece. Mari Bryant of Preceptor Alpha (this chapter will be overseeing the maintenance and distribution of the rosters for the 2011-2012 year) asked that all up-dates and changes be emailed or mailed to her by June 1, 2011.
Scrapbook – Psi Master/ Teresa Griffin: Teresa reported that 19 sheets were turned in this evening and thanked all the chapters. All the scrapbook sheets must be turned into her by the May City Council meeting.
Scholarship – Georgia Athearn: Reported on the scholarship application turned in under the 2nd Vice President’s report.

Sweetheart Dinner/Dance –Carol Lindenmuth: The Sweetheart Social was held on Saturday, February 19th, 2011 at the Mountain View Club/KAFB. Cocktails at 6:00pm and dinner was 7:00pm. 88 sisters and their escorts or significant others were there for a wonderful time. Final report: Income of $2,322.00 was based on 86 sisters and others purchasing tickets. Expenses totally $2,178.21 included: Mountain View Club, the band: Champagne/Toast of the Town; invitations, table decorations and flowers for the queens and the CC president. Net profit for this event was: $143.79.
Founder's Day – Laureate Alpha Epsilon/Janice Swope: The 2011 Founder's Day Luncheon will be Saturday, April 30th at the MCM Elegante Hotel. Meet and greet at 11:30am and lunch will be served at noon. Cost for the luncheon will be $25.00 and there will be a cash bar set up in the pre-meeting area from 11:15am to 1:15pm. Reservation lists and checks need to be turned into Janice this evening. Pictures (Photos) of all chapters need to be turned into Janice as soon as possible.
Order of the Rose – Alpha Master: Linda Richardson reported that 5 sisters will be receiving the Order of the Rose at Founders Day.
Silver Circle – Preceptor Alpha: Mari Bryant reported that 8 sisters are eligible for the silver circle.
Golden Circle – Laureate Kappa: Vinita reposted that 5 sisters are eligible for the Golden Circle.
Diamond Circle – Epsilon Master: 2 sisters are eligible for the Diamond Circle.
Women of the Year – Eta Gamma: Mari Arnold: Nominations for City Council Woman of the Year were to be sent to Mari Arnold by March 15th. Mari still needs some of the chapters: Women of the Year (name) and any special wording that you would like mentioned.
Mother/Daughter Tea – Delta Omega/Storm Gonzalez: The Mother Daughter Tea will be held at the Ronald McDonald House Community Room on Saturday, May 7, 2011 at 1:00pm pm to 3:00pm . Light snacks will be serviced and a prize will be given out for the best decorated hat. Invitations are in your chapter folders this evening.
UNFINISHED BUSINESS:
Carol Lindenmuth reported on the second meeting of the steering committee for the 2012 State Convention that was held at 6:00pm at Monroe’s Restaurant on Osuna on 32-28-2011. The theme was decided and it is: New Mexico’s Centennial Celebration of Statehood with an event theme to be New Mexico Centennial Fiesta. Our skit that will be presented in Las Cruces on June 5th will focus on “100 Years of Famous and Influential Woman of New Mexico. Eleven sisters: One MC and 10 other sisters whom will represent a famous/influential woman from each decade will be introduced and their achievements highlighted. Skit practice meetings will be held April 25th at Storm Gonzalez’s home at 6:30pm and other practice meetings will be held on May 9, 16 and 30th. Skit dress rehearsal will be on May 30th. Location and time for the last three meetings to be determined.
NEW BUSINESS:
Does the Albuquerque Beta Sigma Phi chapters want to continue next year (2011-2012) with the website? A brief discussion was held and then a city council vote was held by chapter. If two representatives were present at the City Council Meeting that will count as 2 votes for each chapter. If a chapter was split in their decision to continue on with the website. The chapter would vote: 1 in favor and 1 opposed. By majority vote the Albuquerque Beta Sigma Phi City Council will continue next year (2011-2012) with the website. Debbie Davis of Laureate Kappa has graciously volunteered to be the “Web Mistress” for the up-coming 2011-2012 sorority year.

Nominations from the incoming President and City Council Representatives was taken at the April City Council Meeting to determine the Nominating Committee for the 2011-2012 City Council Officers. A ten sister slate of nominees was nominated from the floor. By written ballot, the two chapter representatives then voted on five sisters that will make up the 2011-2011 Nominating Committee. The Nominating Committee will consist of the following five sisters: Danielle Roach, Teresa Griffin, Mary Stanton, Storm Gonzalez and Carol Pettit. The new City Council officers will be elected at the April 18th Special City Council meeting.
ANNOUNCEMENTS:
The Beta Sigma Phi Walkers will be walking the Making Strides Cancer Walk on May 1, 2011 at the Cottonwood Mall in honor of Di Thompson of Eta Alpha and all of our sorority sisters that have fought cancer and won and for the sisters who have pasted away from cancer. We will be meeting on the NE side of town to caravan over to the Cottonwood Mall at the Manuel Lujan Agencies at 7:00am…so that we can meet up with other sisters that live on the west side of town at 7:30am.
Mari Arnold of Eta Gamma announced that their chapter is selling Casa Verde Spa Gift Certificates for $50.000. Value of all the services is around $300.00/$400.00 for only $50.00. They have about 5 certificates left. The spa is located at the corner San Mateo and Palo Duro NE.
Kathy Stringer of Preceptor Iota announced that their chapter is raffling off the following items: a doll and three watches as a fundraiser for Joy Junction. The tickets are selling for: 1 for $2.00 and 3 for $5.00. Please email Kathy at kassidy816@msn.com if you want tickets. Winners will be announced at the Founders Day luncheon.

It was moved and seconded that a vote be held for a chairman for the state convention. A vote by ballot was held with the sisters in attendance at the March City Council Meeting. Robin Chall counted the votes and Carol Lindenmuth was voted in as the Chairman with Dorothy Martin and Georgia Athearn as Co-Chairmen.
NEW BUSINESS: 1) Does the Albuquerque Beta Sigma Phi chapters want to continue next year (2011-2012) with the website? Discussion was held on whether to maintain the BSP website and pay the expenses for the up-coming year. It was mentioned that the website could be a great asset for dispensing with information for the possible 2012 State Convention to be held in Albuquerque. It was moved and seconded that this topic be taken back to the chapters for a vote and then a city council vote will occur at the April meeting.
2) Do the chapters want to continue next year (2011-2012) with the same format for the Sweetheart Event (Dinner/Dance) or should we have a luncheon or just a dance? Discussion was held on whether to have the Sweetheart Event next year. Beta Psi (chapter) volunteered to chair this event for next year if this tradition continues on for next year. Cathy Jones suggested that the dinner/dance be moved to a Friday night, not be on the night of a Lobo game and not be held during a 3 day weekend. Discussion was held to possibly go to a luncheon, however it was also mentioned that this was the only event that husbands could attend. It was moved and seconded that this topic be taken back to the chapters for a vote and then a city council vote will occur at the April meeting.

Around 48 sisters attended and we had a great time learning Laughing Yoga, 3 Line Dances and decorating straw hats during our yummy lunch.

Rosters/Website – Janice Swope distributed the roster page for the new chapter – Alpha Omega. Julie Crespy commented that this year’s roster could not be accessed on the BSP Website. Last year’ s roster was the one that was showing.
Scrapbook – Psi Master/ Teresa Griffin: Completed sheets should be returned to Teresa at the April City Council Meeting.
Scholarship – Georgia Athearn: Applications are available on the Albuquerque Beta Sigma Phi Website. Completed applications need to be turned in to Georgia by March 15th. It was also mentioned that BSP International awards a $1000.00 scholarship to a deserving sister or family member.

Sweetheart Dinner/Dance –Carol Lindenmuth: The Sweetheart Social will be Saturday, February 19th, 2011 at the Mountain View Club/KAFB. Cocktails at 6:00pm and dinner at 7:00pm. The theme is Pathways to Love. Presently we have 94 sisters attending and either Lucinda Fairfield or I will accept cancellations through to 2-11-2011.
Founder's Day – Laureate Alpha Epsilon/Janice Swope: The 2011 Founder's Day Luncheon will be Saturday, April 30th at the MCM Elegante Hotel. Meet and greet at 11:30am and lunch will be served at noon. Cost for the luncheon will be $25.00 and invitations and reservations lists were handed out at the February City Council meeting. There will be a cash bar set up in the pre-meeting ares from 11:15am to 1:15pm.
Order of the Rose – Alpha Master: Linda Richardson reported that 5 sisters will be receiving the Order of the Rose at Founders Day.
Silver Circle – Preceptor Alpha: Mary Bryant reported that 7 sisters were eligible for the silver circle.
Golden Circle – Laureate Kappa: Vinita reposted that 5 sisters were eligible for the Golden Circle.
Diamond Circle – Epsilon Master: Ruth Cook reported that 2 sisters are eligible for the Diamond Circle.

Mother/Daughter Tea – Delta Omega/Storm Gonzalez: The Mother Daughter Tea will be held at the Ronald McDonald House on Saturday, May 7, 2011. Time to be determined. Invitations will be distributed at the March City Council Meeting.
UNFINISHED BUSINESS:
Carol Lindenmuth led a discussion on the setting up of a Steering Committee for the Bidding on the 2012 State Convention and on possible themes. The floor was open to general discussion for about 15 minutes. It was moved by Dorothy Martin and seconded by Teresa Griffin to poll each chapter in attendance to see if 1) any of their members were interested in co-chairing the convention and 2) if any sisters from their chapters were interested in sitting on the steering committee. A poll was taken and 13 sisters from 13 different chapters were interested in sitting on the steering committee. The first meeting of the steering committee will at 6:00pm at Monroe’s Restaurant on Osuna on 2-28-2011.
NEW BUSINESS:
It was moved by Teresa Griffin and seconded by Janice Swope and then passed by the sisters unanimously to move the following new items of discussion to the March City Council Meeting: 1) Does the Albuquerque Beta Sigma Phi chapters want to continue next year (2011-2012) with the website? 2) Do the chapters want to continue next year (2011-2012) with the same format for the Sweetheart Event (Dinner/Dance) or should we have a luncheon or just a dance? 3) Does one of our chapters want to oversee the Maintenance and the Distribution of the rosters for next year (2011-2012)? Alpha Chi is ready to step down.
ANNOUNCEMENTS:
Yvonne Casteneda-Delgado of Eta Gamma announced that her chapter is selling Casa Verde Spa Gift Certificates for $50.000. Value of all the services is around $300.00/$400.00 for only $50.00. She has 30 to 40 certificates left. The spa is located at the corner San Mateo and Palo Duro NE.
Jewell Reid of Upsilon Master announced that she has a friend that will do motivational lectures and programs for chapters. Her name is Dr. Gladys Turner and Jewell has a few cards, if you would like one.
Marilyn Lafer of Preceptor Iota announced that their chapter is raffling off the following items: a doll and three watches as a fundraiser for Joy Junction. The tickets are selling for: 1 for $2.00 and 3 for $5.00. Please see Marilyn for the tickets. Winners will be announced at the Founders Day luncheon.

DECEMBER 6, 2010
The City Council of the Albuquerque Beta Sigma Phi met at Hodgin Elementary Cafeteria at 7:05pm.
The following guests were introduced to the City Council of the Albuquerque Beta Sigma Phi: from the Marines to pick up the toys that our chapters collected for Toys for Tots were: Sgt Sullivan and Sgt Siddall. Cindy Chall-Silva introduced the second guest from Chic-fil-A, the Marketing Director/Darlene from the Cottonwood location. Chick-fil has joined with our sister Chapter, Eta Gamma in a fund raiser to raise monies for Juvenile Diabetes.
Carol Lindenmuth, President led the Opening Ritual at 7:20 after the guests had departed.
Carol Lindenmuth introduced Cindy from Beta Psi who introduced Danielle Roach, the CC Representative of our newest chapter: Alpha Omega. Kathy Merger is President and there are 9 members.
Mary Stanton introduced the guest chapters for the month of December: Laureate Alpha Sigma, Preceptor Alpha Sigma and Psi Master.
ROLL CALL: was taken by Mary Gilliland. 56 members from 24 chapters were present. A quorum was present. Christmas cards and handouts were distributed to the chapters during roll call.

OFFICER REPORTS:
1st Vice President – Sandra Hamilton: No new Prospective Member list was received from International this month. A note was distributed listing info on a prospective new member: Ronni Nunez; 13611 Mountain West, Albuquerque, NM 87123; Ritual of Jewels degree; she is single and 43 yrs old. She can be reached at: 505-659-7001. Sandy will contact Sharon Walsh of Eta Theta, and explain that she needs to submit a letter of intent to city council to disband the chapter. Sandy will also ask Sharon to turn the BSP properties into City Council.
2nd Vice President – Georgia Athearn: Membership Workshop will be held on January 22nd from 10:00am to 1:00pm at the Manzano Mesa Multigenerational Center. The invitation and the reservation list were handed out this evening. The program will consist of: Chair Yoga, Line Dancing and Straw Hat Decorating. For every four sisters in attendance, a salad or luncheon item needs to be brought.

Dorothy Martin gave Carol Lindenmuth the Women of the Year for 2009-2010 gifts and the Sweetheart Queens for 2010-2011 gifts that were not distributed at the Honors Luncheon in November. Woman of the Year gifts will be distributed now and the remaining Sweetheart Queen gifts will be distributed at the February dinner/dance.Carol Lindenmuth also suggested that each active chapter generously donate a $10.00 gift to our new friendly venture: Alpha Omega. UNFINISHED BUSINESS:

Approval of the 2010 -2011 Budget: Janice Swope: She reported that a budget is a guide for spending, therefore it is not set in stone and is subject to change. General discussion was open to the membership. Janice suggested that the $333.00 shortage be moved from the reserve Fund to the Operating Account. A motion was made by Priscilla Brower and seconded by Dorothy Martin that the $333.00 shortage be moved from the reserve Fund to the Operating Account. The motion was put to a vote and passed unanimously.
NEW BUSINESS:
Discussion was held regarding Albuquerque City Council putting in a bid to host the 2010 State Convention. Dorothy Martin and Carol Lindenmuth volunteered to Co-chair this event. Dorothy Martin mentioned that an awesome theme for the 2012 state convention could be centered around the State of New Mexico's Centennial Anniversary. A motion was made by Janice Swope and seconded by Teresa Griffin that the Albuquerque City Council wishes to sponsor the NM State Convention in 2010 with the help of all members of City Council chapters. The motion was put to a vote and passed unanimously. It was also decided that prior to committing to this large undertaking, that the City Council representatives would take this motion back to the chapters for further discussion and chapter vote. The outcome of chapter votes will be reported on and discussed at the January 10th City Council meeting.
ANNOUNCEMENTS:
Upsilon Master has 2010/2011 Entertainment Books for sale for $35.00. Please see Wanda Dudley and Jewell Reid if interested in purchasing a book. They sold 2 books today, but have more available.
Teresa Griffin requested that her sisters bring in tin cans (preferrably cat food; tuna or coffee cans) for her brother. He makes "Tin Men" from these cans.
Xi Alpha is selling for $6.00 beautiful handmade Christmas ornaments. Daryl Reyner of Xi Alpha also announced that their chapter is selling Christmas Wreaths for $20.00 a piece. They are taking orders now and can deliver the wreaths to the December City Council meeting.

Executive Board – Mary Gilliland reviewed the Executive Board minutes from the September 15th meeting that was held at Janice Swope's house. The ritual for the 2 deceased members will be held at the November City Council meeting. The family members will be contacted by the propsective chapters.
Contact – Epsilon Master and Upsilon Master: Ruth contacted everyone via email and Jewell contacted the sisters that do not have email.
Rosters/Website – Alpha Chi/Teresa D’Anza mentioned that all chapters have not contacted her for the number of rosters that they would like printed. Less than 100: $6.50 per roster; 100-150 rosters: $6.05; 150-200 rosters: $5.65 and over 200 rosters: $5.35. Sisters please let Teresa know how many rosters you would like printed as soon as possible. Teresa can be reached at 239-8744 or tdanza5877@msn.com. Once a total number is submitted to the printer it will only take about 10 days to get the rosters printed. Teresa is looking into the price that Janice quoted.

Approval of the 2010 -2011 Budget: Carol Lindenmuth opened the discussion to the membership. Teresa Griffin suggested increasing the City Council dues to $10.00 or get more members. One sister stated that the budget needs to be balanced, that the expenses could not be greater than the income. Ruth Cook stated that the budget is only a guideline. It was moved and seconded (by Priscilla Brower and Cyndie Patrick) and voted on by the City Council members that the budget be sent back to the "Budget Committee" for further modification to balance income and expenses.

Laureate Alpha Sigma/Annette Turner brought the Roswell Symphony Guild; Savoring the Southwest Cookbook that they are selling for $20.00.
Preceptor Alpha Sigma/Dorothy Martin andLaureate Alpha Sigma/Mary Gilliland mentioned that both of their chapters are collecting aluminum pull tabs. Dorothy's chapter gives them to the Ronald McDonald House and Mary's chapter gives them to Hoover Middle School to show students what 6 million peopled killed in the at the Holicost??? and then they will be given to Ronald McDonald House.
Teresa Griffin requested that her sisters bring in any size or shape tin cans for her brother. He makes "Tin Men" from these cans.
Next City Council Meeting will be November 1, 2010 at Hodgin Elementary Media Center at 7:00pm. Next BSP Executive Board Meeting will be October 20, 2010 at Shoney’s on Menaul & Louisiana.

AUGUST 30, 2010
The City Council of the Albuquerque Beta Sigma Phi met at Hodgin Elementary Media Center at 7:05pm. Carol Lindenmuth, President, led the Opening Ritual.
The following guest chapters were announced for the month of August: Xi Alpha; Preceptor Alpha and Preceptor Beta Epsilon
Introduction of the City Council Sponsor: Ms. Brynne Badeaux, our 2010-2011 City Council sponsor was not able to attend this evening’s meeting. Carol Lindenmuth read Ms. Badeaux’s bio. Carol Lindenmuth also announced that at next month’s meeting a guest speaker: Phyllis Denton and her grandson will be attending to discuss the upcoming walk to raise funds for: St. Jude’s fight against Childhood Cancer.
ROLL CALL: was taken by Mary Stanton. 59 members from 23 chapters were present. A quorum was present.
MINUTES: It was moved and second to dispense with the reading of the May minutes.
OFFICER REPORTS:
1st Vice President – Sandra Hamilton: Reviewed the Prospective new member list that was emailed to the chapters this summer. Note: Sally Kaufman has moved to Arizona, please remove her name from the list. Sandra also mentioned that we were considering a city council-wide pledge training class for any new member: if this centrally located class would be easier for the chapters.
2nd Vice President – Georgia Athearn: The membership Workshop will be held either the 4th or 5th Saturday in January (2011). Georgia has not finalized where the workshop will be held. If any member has any ideas for the location of this workshop, please do let her know.
Corresponding Secretary – Mary Stanton read the list of cards that were mailed out during the months of May, June, July and August. In May, June, July and August: 13 Birthday cards, 8 Thinking of you cards, 2 Anniversary cards, and 2 individual Birthday cards to Mary Gorenz (80th birthday) and Alice Dorron (90th birthday) were sent.
Recording Secretary – Mary Gilliland: Not present at this meeting. No Report.
Treasurer's Report – Janice Swope: The vote of the 2010-2011 Budget will be at the October Meeting. Any questions regarding the budget can be directed to Janice or any Board member. Event chairs need to have the Budget ready for the October meeting at the latest. NOTE: Dues ($5 per chapter member including inactive members) and Scholarship Fee ($3 per chapter member including inactive members) were paid at the August City Council Meeting. Two separate checks were placed in an envelopes with the chapter name and the number of members. NO Cash will be accepted. Treasurer report ending July 31, 2010 was distributed to all chapters by placing a copy in each chapter folder. Balances for each account are as follows: Operating Fund: $600.00; Reserve Fund: $7,137.93; Money Market: $5,886.63 and the CD is $2,125.33.
Parliamentarian – Ruth Cook would like to implement for the year 2010-2011, that if a sister makes a motion from the floor, that the motion is written down and passed up to the board. The board has a spiral notebook and pencils for this propose. Ruth will also review a Beta Sigma Phi tradition or by-law or a Roberts Rules of Order procedure at each City Council meeting.
COMMITTEE REPORTS:
Executive Board – Carol Lindenmuth reviewed the Executive Board minutes from the August 18th meeting.
Contact – Epsilon Master and Upsilon Master: Carol Lindenmuth contacted everyone via email this month in lieu of Ruth Cook – just to welcome everyone back to sorority. Going forward Ruth Cook will contact the representatives via email and Jewell Reid will call the representatives that do not have email.
Rosters/Website – Alpha Chi/Teresa D’Anza discussed and reviewed the prices she had received to possible print the rosters this year. Janice Swope also reviewed the prices she had received to print the rosters this year. CD’s have not been burned, therefore, there will be no charge for them. Amended: Teresa D'Anza from Alpha Chi needs a count from each chapter for hard copy, printed Rosters. She has only heard from half of the chapters.
Scrapbook – Psi Master/ Teresa Griffin requested that all chapters please take pictures of their activities to be included in this year’s scrap book.

Joyce Domina read a “Thank You” letter to Albuquerque Beta Sigma Phi from her granddaughter, Rachel Hakeem who received the Beta Sigma Phi Scholarship for the 2009-2010 year.
Service (Toys for Tots) – Laureate Alpha Sigma: Margaret Storks reported that the marines will be at the December 6th meeting and that she will have flyers in the chapter folders in the near future. She also reminded us to start shopping for toys early and that Target and Wal-Mart have good toy sales.

It was mentioned that Carol Petit (member at large) lost her mother, Pauline Nelson during the summer and Ida Mae Whitworth of Upsilon Master passed away July 16, 2010. Ida Mae was a member of Beta Sigma Phi since 1938. A Memorial Ritual will be will be held at an up-coming City Council meeting.

MINUTES OF LAST MEETING: Chris Thorson moved that we approve minutes. Dollie wants to amend the minutes from last meeting: the properties of Order of the Rose have been found. Mary Stanton Seconded.
OFFICER REPORTS:
1ST VICE PRESIDENT—Dorothy is still recovering from surgery. The legacy event has been rescheduled. Look for an email regarding the new date. The list she sent out of potential members need to be contacted. If you need Dorothy’s help with this, she is willing to help you call these ladies.
2ND VICE PRESIDENT—Janice reported that the questionnaires need to be returned. Please do not put chapters or names, just member #. She wants to put the information together so that we can improve our chapters. She also put together a more detailed job description for the 2nd VP position which will be passed on to the new 2nd VP.
TREASURER—Cinda reported that our CD matured. We have a new CD. Please see report. She passed out one check for Valentines re-embursement. She wants receipts turned in to her by June 1, 2010 in order to be able to close the books on time. June 31st is in the bylaws so no receipts will be honored after that time. There are no outstanding checks. Pins ordered for the luncheon are in and were passed out.

OFFICER REPORTS:
1ST VICE PRESIDENT-- Dorothy is not present. She submitted the legacy list 0-12 years. Please correct addresses on legacy list and submit them to Janice or Dorothy. Also, if there are other legacy names that were not added, please let them know.
2ND VICE PRESIDENT—Janice explained the questionnaire that she got from when Lola was here. It is a survey of why you are in BSP, etc. Fold it and put it in an envelope and send it or bring it to CC meeting. We want to know how satisfied ladies are with BSP.
Janice reviewed list of ritual supplies. First vice president has the boxes with all of the supplies. We need the sashes for Order of the Rose ritual. They were not turned in last year.
TREASURER—See Cinda’s report. She reminded us that we approved a deficit budget this year. Please pay close attention to the upcoming budgets because that is when most of our money is spent. There is one outstanding check…that chapter was notified. She reviewed the order that went in to International. Please let her know if there are amendments. Cinda also passed out checks to certain people or chapters for refunds or services.

FOUNDER’S DAY 24th of April Sign-up sheet is due next meeting. The menu was read. It is $20 for the veggie and chicken dinners and $25 for the prime rib dinner.

Please include “If you had unlimited funds, where would you send her on her dream destination and who would you send her with?” If you want her name to be included in the program, send her name to Cinda. ROLL CALL: 52 members were in attendance. We had 26 chapters represented.
INTRODUCTION OF GUESTS: Si, Se Puede Learning Centers! Debbie Davis talked about the learning centers. Rental properties owned by the National Farm Workers for affordable housing for farmers and other low income families. La Vida Nueva Apts. La Vida Nueva is located at Yale and Avenida Cesar Chaves. Community Services help and serve the people that are living there. The learning centers are Plaza David Chaves on Mountain and Rio Grande. Sandia Vista opening but they need someone to run it at Tramway and Copper. They do a lot of things which started in 1962 with Cesar Chavez.
The Si, Se Puede Learning Center directors Mo and Ann spoke. They are Vista volunteers. They talked about service opportunities. They are looking for volunteers. Mo is from Albuquerque. She said there are 28 children enrolled in the program. They need academic and leadership skills. They don’t know what it is to be a leader. They need these opportunities to rise above their poverty. There are two sites looking for volunteers to work with kids. Volunteers are needed to help read a book and help with homework. There is going to be a 1st annual benefit breakfast on March 25th at NM Hispanic Cultural Center. For more information call 730-930. This fundraiser ‘s proceeds go to the learning centers. Tickets are $35 each or for a table of 8 it is $280. Paul Chavez is keynote speaker. Anna from Saint Paul, MN spoke. She said that the learning centers have afterschool program for elementary students k-5th. Ways to help…painting at one of the centers (Old Town David Chaves center) needs painters Feb 27 and 28th. They want it to be an inviting, calm welcoming space for kids. Also, they are creating reading corners so they are looking for cushions, floor pillows, partitions. They also have a community skill share. Community members and YOU can teach kids about your hobby, career, or something you are passionate about on Friday afternoons! They are also having a summer camping trip. It’s an overnight camp where kids learn respect for our environment. We need transportation for these! They will also have a basketball tournament every July. They get to play ball and have a cookout. They are in need coaches and refs. They also need cookout items and blank t-shirts for uniforms. They are developing a Facebook page so look for that. They also need all kinds of supplies, puzzles, games, children’s books, etc. Get a volunteer application if you are interested in volunteering.

MINUTES OF LAST MEETING: Chris Thorson motioned to accept minutes as published Lori Lake seconded.
OFFICER REPORTS: Storm talked about doing a summer get-together as an entire Albuquerque sorority. We could also invite prospective members. Keep it in mind. We could possibly make this a new tradition. We want to make sure it is not a Rush. We could call it a Non rush or a friendship gathering. Open to names.

We discussed getting legacies together birth to 12 years old and take them to Alb. jump. We are looking at doing this on April 17th and would cost $7 per legacy. They will need to pay that fee. Please let her know if there are legacies that have new addresses. Let her know if you have ideas to get legacies 13-17 involved in BSP. We want to get legacies involved at a younger age in order to spike their interest in sorority. A new list of people who have sent in to International is attached.
2ND VICE PRESIDENT Janice thanked people for coming to the workshop. See her report. She has a lot of information for socials, ways and means, officers etc. See her for more information. Look at the website for more information as well. Ladies at International are there to serve us. We were lucky that we got Lola to come. She thanked us for inviting her and making it possible for her to come to Alb. The Torch is on the internet. They have had requests for mailings of the Torch. It costs $14 a year if you are interested.
TREASURER Cinda see her report. Reserve is unchanged, money market 2 cent increase .25% CD is up in March. She recommends that when we renew we do not lock in for long term. Keep as a short term note. Interest is bound to go up. She received the Legacy jewelry and information and gave to the chair chapter. Two chapters have outstanding checks and were notified. Members called Cinda and asked for a copy of the budget. Please make sure you have information to give to your chapters. If you need copies please let her know. Taking names for treasurer for next year. You will be hearing from us. She will not be running again next year because she does not think that treasurer should hold the position for more than two years. Any time people handle money there should be a fresh set of eyes.

Time is 9:30 a.m. check in at Palo Duro Senior Center. (We do not have refrigeration available so bring food items accordingly.)

9:45 to 10:30 Introduction of Guest, Lola Ruby. Presentation and beginning of question session.
10:30 to 10:45 short break to chat and relax
10:45 to 11:45 Continuation of questions and discussion of City Council and Chapter officers and their duties. If time permits additional issues of increasing membership suggestions will be presented.
11:45 to noon--Set up for lunch.
Our eating and serving space is on carpeted floors SO be aware and take care. Dessert will be served to close our meeting. We need to be clear of the facility by 1:30 if possible. Door prize drawing and announcements during dessert.

TREASURER Cinda reported on the treasurer report ending Dec. 31, 2009. (See attached)
January 4st through Feb 28th 10% discount from international for officer pins. Silver or Golden circle pins need to be requested through Cinda so that she may order them. Please do that ASAP so that we can get the 10% discount.
RECORDING SECRETARY Cyndie reported. She is very apologetic for having to leave the Dec. meeting early. She did end up in the hospital that night. She thanks all Chapters for their warm wishes, thoughts, and prayers.
She is also apologetic for not having the library open last Monday for the meeting. (We will suggest to next year’s board to schedule the first meeting of the year on the second Monday to give the school and chapter reps. time to recover from the holidays.)
CORRESPONDING SECRETARY Teresa reported that she sent several cards in Dec. She sent 7 “get well”, one “thinking of you” and one “sympathy” card. She read a thank you note from Barbara Wheat. She also announced Bennita’s birthday today.
City Council “Woman of the Year” nominations should be given to Teresa by the March City Council meeting. She needs to have them by March 15th so that they can be sent to International. Any nominations received after March 15th will not be submitted.

MINUTES OF LAST MEETING: Chris Thorson from Preceptor Alpha Omega motioned to approve the minutes from our last meeting. Mary Stanton from Xi Alpha Omicron seconded the motion. The motion carries. Ruth Cook from Epsilon Master stated that she did not receive the minutes from November. It was decided that the November minutes would be sent out again with the December minutes.

1ST VICE PRESIDENT - Dorothy Martin, Preceptor Alpha Sigma stated that a member list was available in the chapter’s boxes. The first column, minus the last name, are names given to us from International, the last name from the first column and the second column are local referrals.
2ND VICE PRESIDENT – Janice Swope, Laureate Alpha Epsilon reported that a notice had been sent to all chapters concerning the workshop which will be held January 16th. There is no definitive format, but chapters with questions for Lola Ruby should please contact Janice with those questions via e-mail or phone. For each 4 members attending from a chapter a dish to share should be brought for luncheon. Reservations are requested at the January City Council meeting.

1ST VICE PRESIDENT Dorothy stated only one person responded for the Rush Tea so it was cancelled by the Executive Board. (Some of the postcards arrived late.) Don’t forget to pass out brochures about BSP to try to let people know what our organization is all about. We will pass out names of potential new members at the next meeting.
2ND VICE PRESIDENT Janice reported on the workshop. Lola Ruby from BSP International will be here. If we have forums, Forum A will be Officer Positions and Forum B will be Membership/Rushing. We may do panel discussions instead of forums. If you have questions for Lola please let Janice know. An evening meal with Lola may be forthcoming for chapter presidents…look for further information in the future.

Hodgin's Instructional Council met this afternoon and out of that meeting we have a couple volunteer opportunities...
1. We need a couple of ladies to volunteer in the office for the next 2 weeks in the mornings from about 8:00-9:00AM. You would be there to collect money and write receipts for our school fundraiser. We may also need help when the orders come in, but I will let you know when we know. The contact for this is our Principal, Kimberly Woodley, or our Family Liaison, Deborah Pohl. Both can be reached at 881-9855...just ask the secretary to transfer you.
2. We are having a Scholastic Book Fair on November 18, 19, 20, 23, and 24. We could use people to assist students select books, working the register, or other things. The times are varied so need to be worked out with our librarian. The contact for this is our Librarian, Peggy Mace. She can also be reached at our school number 881-9855 and her extension is 45023.

The menu choices are roast pork , stuffed chicken breast, or cape cod. It will be at the Mountain View Club. There will be a photographer and a DJ. It is an open event so invite many people. You will be able to buy a bottle of wine to take to your table. Sign up slips for this event will be at next meeting.
MOTHER DAUGHTER LEGACY TEA Eta Gamma reported that the drawing was done after Honor’s luncheon. Storm apologized for neglecting to draw names at Honor’s Lunch. Emails will be sent to notify those drawn.

OFFICER REPORTS:
1ST VICE PRESIDENT invites for tea sent from 90 names that came from international. Any chapters interested in rushing, send two reps to tea. Let Dorothy know if you are going to come. There is no budget for this, so please send bite sized goodies; for example a regular sized brownie cut into fourths. It’s a foreign theme, so make something from another country and tape the country origin to the plate of goodies. Please RSVP to Dorothy Martin 298-7665wk cell 321-7035 and email Storm for directions to her house.
Invitations: 145 Members At Large and 122 Legacy names came from International. The committee took Members At Large who have been out 5 years or less and Legacies who are old enough to join a chapter. They invited perspective members also.
Another idea for membership: each member should give a BSP flyer to someone to invite them to learn about BSP.
2ND VICE PRESIDENT
Hodgin Library as our location: seems to be working out. Please restore the environment when leaving. The boxes are to be used to make it easier to find your folder. Ritual of jewels chapters are in one box, Preceptor chapters in another, and Laureate and Master chapters in the last box. If you have any suggestions let Janice know.

Cinda gave the Bank Of America balance (see Treasurer’s Report following the minutes)
Reserve account is about where it was 10 years ago…we do not have an accumulation of funds. We are not earning any interest. CD at Bank of America is a 6 months rolling CD. It makes the most sense with the economy.

EXECUTIVE BOARD REPORT—Cyndie stated that Executive Board met on September 28, 2009. The Rush Tea was discussed. Every chapter is to contribute some kind of desert from various countries to share. Also discussed was the CD. The CD is to be short term due to current economic situation: rolling CD every 90 days. Please remember to get items to the Executive Board prior to their meetings in order to be placed on the agenda.
COMMITTEE REPORTS:
HONOR’S LUNCHEON—Psi Delta: registrations are due tonight with money. Chris Thorson is accepting the money. You must have cancelation # if you cancel. Give Chris Valentine Queen and Woman of the Year names and words to describe them.
SERVICE—Laureate Alpha: look for Toys for Tots flyer at next meeting
MEMBERSHIP/WORKSHOP--January 16th at 9:30 at Palo Alto Senior Center. The committee is to get together soon. By next meeting, we will know what the program will be. There is no cost. Memorabilia can be placed on tables, ask Janice for a table. You can use this as a rushing opportunity as well.
SWEETHEART SOCIAL—they have a contract for Storm to sign. Committee meeting on 20th at 1pm. Lace and ribbon request that looks Valentine related; please get to these to Preceptor Beta Epsilon.
MOTHER DAUGHTER LEGACY TEA—There is a sign-up sheet if anyone has names for Legacies. Email Suzanne Loesch or Lori Lake at Eta Gamma. The drawing will be at held at Honor’s Luncheon. Carol Godwin has Legacy Tea folders for Lori.

SCHOLORSHIP—Applications are due March 15th next year. You may pick up scholarship applications after December. If you know anyone who is going to school and is associated with an active member, let them know. $750 can go toward their education

Cookbook on sale for $6.50 from Psi Alpha Omicron
Upsilon Master is selling entertainment books which can be used from now until Nov. 2011. They are good presents for Christmas and are $35 each.
Linda Richardson stated that Laureate Psi has officially changed their name to Alpha Master. Congratulations to them!

MINUTES OF LAST MEETING: Judy moved that we dispense with the reading of the minutes. It was seconded by Susan. Storm called for a vote. The vote was in favor to dispense with the reading of the minutes with none opposed.
OFFICER REPORTS:
1ST VICE PRESIDENT: Dorothy Martin presented chapters with Property Inventory for BSP for 09-10. She reported that some items were disposed of, for example melted candles were thrown away.
She also reported on membership plan to reach out to our Legacies and Members At Large. The names of these women were requested from International. Once those names are acquired, we plan to have a Rush Tea.
2ND VICE PRESIDENT: Storm Gonzales read the following report submitted by Janice Swope.
Ladies:
1. A special thanks to all of you who responded with possible meeting venues. The criteria for location were a) easily accessible location, 2) secure parking and neighborhood, 3) community association--schools, centers or private companies; 4) available on the First Monday of the month. Thanks to Cyndie Patrick who contacted Principal, Kimberly Woodley at Hodgin Elementary School to set up our arrangement for this year. We need to put the room back in the order we found it, and if help is needed for school achievement, we would be willing to lend a hand. BIG THANKS TO CYNDIE!
2. After each meeting it will be important to put chairs, tables and trash in proper containers. Please remember to turn off cell phones or put on vibrate when entering the meeting.
3. Guest chapters for August 24th: Preceptor Beta Epsilon; Eta Gamma; Laureate Psi; Xi Alpha. Thank you ladies for attending. October guest chapters--Laureate Alpha Epsilon; Preceptor Rho; Preceptor Alpha Sigma
4. Workshop is set; MARK YOUR CALENDARS--SATURDAY, JANUARY 16TH, 2010 to be held at PALO DURO SENIOR CENTER (Ponderosa Pine room). Workshop committee meeting Oct. 8th time to be determined. Flyer in next month folders.
5. Scholarship packets will be in a folder at sign in AFTER December meeting. Official transcripts should include first semester 2009-2010 grades.
6. It is never too early to think of serving as an officer in your chapter or in City Council.

TREASURER: Cinda Fairfield reported on the balances in each account. She stated that the CD will be moved to Bank of America. Our assets still be segregated but all of our accounts will be at same bank.

RECORDING SECRETARY: Cyndie Patrick introduced the Assistant Principal of Hodgin, Phyllis Lincoln. She also passed around a sign-in sheet and a sheet with presidents and city council reps and asked that everyone check their information. If any chapter does not get email, please let Cyndie know.
CORRESPONDING SECRETARY: Teresa Griffen reported on the cards that went out to sisters and their families. She also read a Thank You note from the sister whose family member, Alison, received the scholarship. Alison also sent a Thank You card that was also read. Teresa also reported on the cards that are about to go out and asked that if anyone has anything more, to please let her know.
PARLIAMENTARIAN: Dollie Lowrey had no report.
EXECUTIVE BOARD REPORT: Cyndie Patrick went over the minutes from the last Executive Board Meeting held on August 10, 2009. She also reminded the council that dues are $5, Scholarship dues are $3, and (optional) Rosters on CD are $2 and they need to all be paid using separate checks.
COMMITTEE REPORTS: Storm went over the standard financial report and gave sample reports to Committee Chairs.
HONOR’S LUNCHEON: Xi Delta reported that invitations were passed out to chapters and City Council Board Members. Sign-up sheets with menu options were also passed out and need to be submitted with $25 per person attending by our next meeting on October 5, 2009. Honor’s Luncheon will be held at Tanoan Country Club on October 24, 2009 at 12pm. Cancelations are due by October 15, 2009.
Raffle tickets will be exchanged for canned goods or bought 3 for $5 to win $25 reimbursement for Honors Luncheon. All canned goods will go to Roadrunner Food Bank.
SERVICE: Laureate Alpha reported that we will again be doing Toys for Tots in December. Please bring a new unwrapped toy to the December City Council Meeting.
MEMBERSHIP/WORKSHOP: (see Second Vice President’s report)
SWEETHEART SOCIAL: Laureate Alpha Sigma reported that the Sweetheart Social will be held on February 20, 2010 at the Mountain View Country Club (on the Base). They are still looking for a band or a DJ if anyone has any contacts.
They are also asking ladies to search their sewing piles for pink or red Satin or white lace ½ inch to an inch, miniature rose buds, and/or ribbons to donate.
MOTHER DAUGHTER LEGACY TEA: Eta Gamma has no report, but would like the book from people who have done this committee in the past.
FOUNDER’S DAY: Preceptor Alpha reported that Founder’s Day will be held on April 24 or 25th and they are still looking for a location.

CONTACT: Upsilon and Epsilon Master’s Ruth Cook reported that everyone was contacted using last year’s email addresses. Please update with her if you did not get contacted. Phone calls were also made to those who do not receive email.
ROSTER: Alpha Chi reported that the roster CD’s are done! CD’s were only made for those chapters that pre-ordered. The roster has also been uploaded to the website. We will need the user name and login to access it there. Email rosters were also made available to those that requested it.
At this point, changes will only be made on the website. The website is the most up-to-date.
SCRAPBOOK: Alpha Rho had no report.

UNFINISHED BUSINESS: None
NEW BUSINESS: Debbie Davis gave the Financial Report from last year. We were under budget by $194.24. We were over budget in some areas. There were many reasons we were over budget, some of which were previously approved; including the pin cost went up substantially. It was moved and seconded that the financial report be approved. Storm called for further discussion. A question was asked regarding the excess money made from Founder’s Day.
Any money made goes into the reserve account. Reserve account= $1945.69 through end of July.
Vote to approve the Financial Report passed with none opposed.
Judy presented audit. Everything was in order according to the audit committee. They did have some requests including that checks must have 2 signatures, all contracts must be signed by president, and all documents must be presented to the event chair.
The audit committee also had a recommendation that was not included in the report. Cinda had to use credit card because checks did not get to her in time. In the future, checks must be submitted in plenty of time for the checks to clear the account.
Cinda reported that everything balanced! There are still two outstanding checks…one to Preceptor Alpha and one to Preceptor Alpha Sigma that need to be cashed.
She also stated that no cash will be accepted this year and checks must have the chapter name on them.
Committee Chairs need to submit their budgets to Cinda in advance of the event.
Cinda clarified that overages cannot be reimbursed because it would jeopardize our non-profit status. She suggested that cancelation numbers should be given out by chairs in order for members to receive reimbursements, otherwise there may be contradictions on whether or not a cancelation was received before the cancelation date.
New budget was emailed and is based on a membership 250 people. One change to this year’s budget is that there is now a separate line for website maintenance.
The budget is at a negative balance due to increased costs due to the economy. Interest on reserves is at zero so we have to plan for no revenues.
A question was posed, “Can we post the budget on the web page?” It was approved that the budget will be posted on website. (Our budget is public record so there are no confidentiality conflicts.)
Motion to approve the budget was made by Ruth and seconded by Jewell and Judy.
A vote was taken and the motion passed to accept the budget.
ANNOUNCEMENTS: Xi Alpha Omicron is selling cookbooks.

Fran Myers, bridal consultant, is hosting a charity event in which you can rent table space.

Welcome and Opening Ritual:
The City Council of the Albuquerque Beta Sigma Phi met at Cleveland Middle School at 7.05 PM. Debbie Davis, President, led the Opening Ritual.
ROLL CALL: 50 members from 25 chapters were present. A quorum was present .
Peggy Jourden - 2nd Vice President: introduced guest chapters for April: Xi Alpha, Laureate Psi and Laureate Alpha Pi .
MINUTES: It was moved and second to dispense with the reading of March 2009 minutes.
OFFICER REPORTS:
1st Vice President - Mary Gilliland: She requested that all chapters do keep her informed as to when they contact prospective new members.
International Dues for new members was reviewed: One time charge of $64.00 for new members and there after $38.00 annually.
2nd Vice President - Peggy Jourden: Mentioned that all the workshop bills need to be accompanied by the actual receipts. If you have the receipts at home, please get them to her.
Treasurer's Report - Cinda Fairfield: Treasurers report ending March 31, 2009 distributed to all chapters via email dated March 31, 2009. Balances for each account are as follows: Operating Fund: $ 4,857.20; Reserve Fund: $1,945.69; Money Market: $5,879.76 and the CD (Matures 09/07/09): $2,068.75. Cinda handed out several checks to chapters for some of the events. She also reiterated that all receipts must be to her by 6-30-2009 in order to receive payment for any 2008-2009 invoice or bill.
Recording Secretary - Carol Lindenmuth: No report.
Corresponding Secretary - Chris Thorson: Time to submit nominations for City Council Woman of the Year to her. Please email your nominations to Chris. Chris reminded all chapters that she must have the names of all chapter officers for the up-coming 2009-2010 term. These names are needed for the nominating committee. She also needed all event folders back as soon as possible.
Correspondence for February and March were reviewed. The following cards were read: A Thank You card for a successful workshop to Peggy Jourden from Vera Butts; a Thank You card for a wonderful Valentine’s Dance and Dinner to all the BSP sisters from Laureate Alpha Pi and a letter from the Roadrunner Food Bank, thanking us for our generous donations of food and monies.

Parliamentarian - Beth Talbert: Rules of Order were discussed concerning City Council Nominations and Elections for 2009-2010. Page 83 from our roster was reviewed as to the rules and procedures to select the Nominations Committee for 2009-2010. There will be a special City Council Meeting on April 2oth at Cleveland Middle School at 7:00pm to elect the 2009-2010 City Council officers. The 2009-2010 President and City Council representatives should be at this meeting.
Nominations were taken from the floor for 10 names for the 2009-2010 Nominations Committee. Presidents and CC Representatives in attendance then voted for 3 names on ballots. These ballots were collected and counted to determine the top five names. The 2009-2010 Nominations Committee is: Storm Gonzalez; Janice Swope, Teresa Griffin and Carol Lindenmuth.
Executive Board Report – Carol: reported that the Executive Board met at Chris Thorson’s house at 11: 30 am on April 5, 2009. Chris served us a wonderful lunch. Mary discussed that she would like the chapters to let her know which potential members they have contacted. Peggy mentioned that International gives out scholarships, however those applications are due International in January. Cinda reminded us that all receipts must be turned into the event chair person and all receipts must be turned into her by June 30, 2009. No receipts will be taken from reimbursement after that date. Beth will review rules and procedures for nominations and elections of officers. Equipment to be brought: Dry Board, markers and paper. The board discussed Honors Luncheon and Founders Day events and that election for City Council Officers for 2009-2010 would be taking place on April 20th. The next Executive Board meeting will be held on Saturday, May 2 at 11:30 am at Cinda’s house.

Scholarship - Peggy Jourden: She has eight applicants now. Peggy mentioned that all of these eight applicants would be eligible for the International scholarship. These applications are due to International in January.
Contact - Ruth Cook: contacted all presidents via email and Carolyn Fassel contacted the presidents that do not have computers by phone. All were contacted.
Rosters - Alpha Chi/Anne Hayward: reported that the remaining rosters (2) were sold at this City Council meeting. Debbie Davis encouraged all the sisters to take the time to look at the website and she mentioned that even sisters from out of state are reading our website.

Scrapbook - Preceptor Alpha Omega – Chris Thorson: Announced that all scrapbook worksheets must be turned in by the April 20th meeting.
EVENT REPORTS:
Honors Luncheon - Debbie Davis reviewed the luncheon’s budget and explained why the luncheon fell short by $386.56. She stated that the luncheon budget was probably short since the $500.00 banquet room charge might not have been figured into the individual sister’s lunch price She called for a motion and second to vote on the payment of the $386.56 shortage with other City Council funds. It was moved and seconded to pay this shortage. This motion was put to a vote and passed unanimously.
Membership/Workshop Event - Laureate Alpha/Peggy Jourden: She mentioned that all the workshop bills need to be accompanied by the actual receipts. If you have the receipts at home, please get them to her as soon as possible.
Sweetheart Social/Dance - Delta Omega /-Storm Gonzalez: No report.
Mother/Daughter Legacy Tea - Laureate Delta/Susie Banks: The tea will be May 9th from 2pm to 4pm at the Montgomery Towers . The address is 5404 Montgomery Blvd NE. Please do plan on attending this delightful event. There is no charge for the tea. Cinda did pay for the two pins at $45.00 each for Rachel Brook Gutierrez and Shelley Lewis.
Founder's Day - Xi Alpha Omicron – Mary Stanton: The reservation list and checks for these reservations are due at this meeting, please do turn them into Helen Andreselli. The event will be held on April 25th from 11:00am to 3:00pm at the Mountain View Club. Lunch will be served at noon. The following meal selections are available: Cod Picatta, Chicken Burgundy, Chopped Sirloin and Vegetarian Lasagna. The cost of lunch will be $20.00 per person. We look forward to all of our sisters coming and having a wonderful time. Committee meeting was held at Debbie Davis’ home on March 29th at 2:00pm.

NEW BUSINESS: None. A discussion was held to pay for the BSP City Council Website for the next year (The year of 2009-2010). The amount of $99.95 is due to keep the site up and running for another year. Debbie Davis called for a motion and second to vote on the payment of the $99.95 with City Council funds. It was moved and seconded to pay this. This motion was put to a vote and passed unanimously.
ANNOUNCEMENTS : Xi Alpha Omicron/Anne-Marie Vidal reminded us that they are still selling raffle tickets for jewelry and the scarf. The drawing will be held at Founder's day and you can contact any member of Xi Alpha Omicron for tickets. Anne-Marie also mentioned that Blue Star Mothers still need pringle can lids (small and long). Preceptor Rho is also collecting pop tops.
Next City Council meeting : May 4th, 2009 at Cleveland Middle School Library at 7:00pm. A special meeting will be held on Monday, April 20th for the election of new City Council officers for 2009-2010. The next executive board meeting will be held May 2, 2009 at 11:30am at Cinda Fairfield’s home.

MARCH 2, 2009
INTRODUCTION OF GUESTS: Barbara LeMare from the Barrett House was introduced.
Presentation by Barrett Foundation: Barbara LeMare the Director of Barrett House gave an interesting speech on the history and services of Barrett Foundation and the Barrett House. She encourages all of the BSP sisters to come by for a tour of the Barrett House. Hours for touring are: Monday through Friday 11am. to 3pm. She also left some information and copies of the Barrett House Wish List at the back of the library for all of us to share with our chapters.
A Memorial Ritual was held for Frances Wilcoxen, Lily Timmons, Irene Moon, Vergie Everhart and Ann Malcolm.

Executive Board Report – Debbie: reported that the Executive Board met at Peggy Jourden’s house at 11: 30 am on March 1, 2009. Peggy served us awesome Mississippi Mud pie. Debbie also mentioned that she attend a wonderful tea given by Laureate Alpha Sigma. Mary discussed the prospective member list. The board discussed Honors Luncheon and Founders Day events and that election for City Council Officers for 2009-2010 would be taking place next month in April. Election of chapter officers needs to occur at the chapter March meetings. Please send a list of the officers to Chris Thorson. The next Executive Board meeting will be held at Chris Thorson’s house on Sunday, April 5th at 11:30 am.

Honors Luncheon - Beta Psi/Maria Romero-McCue: No Report.
Membership/Workshop Event - Laureate Alpha/Peggy Jourden: Peggy thanked everyone for their help and support for sponsoring a very successful workshop this year. The final report has been submitted to the board and all bills have been submitted to the treasurer.
Sweetheart Social/Dance - Delta Omega /-Storm Gonzalez: Storm reported that she had tons of fun at this wonderful dinner and dance this year. 150 sisters and their escorts were in attendance this year. The final report and all bills have been submitted to the board and treasurer. Pictures from the dance are here at the meeting tonight.
Mother/Daughter Legacy Tea - Laureate Delta/Carol Pettit: The tea will be May 5th from 2pm to 4pm at the Montgomery Towers. The address is 5404 Montgomery Blvd NE. Please do plan on attending this delightful event.
Founder's Day - Xi Alpha Omicron – Anne-Marie Vidal: Invitations and the reservation list have been placed in each chapter folder. The event will be held on April 25th from 11:00am to 3:00pm at the Mountain View Club. Lunch will be served at noon. The following meal selections are available: Cod Picatta, Chicken Burgundy, Chopped Sirloin and Vegetarian Lasagna. The cost of lunch will be $20.00 per person. Please turn in the reservation list and your monies at the April City Council meeting. The next committee meeting will be held on Sunday March 29th at 2”00pm at Debbie Davis’ house.
Order of the Rose - Preceptor Alpha Sigma/Dollie Lowery reported that there are five candidates that will be receiving the Order of the Rose at the Founder’s Day luncheon.
Silver Circle Preceptor Rho/Bennita Toohey: Has one name submitted currently. Please do get your names in as soon as possible. Cinda has to order the pins.
Golden Circle/Diamond Circle - Laureate Psi: One recipient for Golden Circle has been submitted. No names have been submitted for Diamond Circle. Please give your names to Carol Godwin as soon as possible. Cinda has to order the pins.
Women of the Year - Eta Alpha/Melinda Pacheco: Flyers has been placed in each chapter folder. Each chapter needs to submit their Woman of the Year: Her name and why she is your Woman of the Year to Melinda by March 15, 2009.

ANNOUNCEMENTS : Dorothy Martin mentioned that if any sister comes by her store, “My Favorite Things” at Scottsdale Village during the month of March she will give them a 10% discount on the items purchased. All you have to do is give her the BSP handshake. Dorothy also left green and gold information sheets at the back of the library so that ya’ll can take them back to their chapters. Xi Alpha Omicron/Anne-Marie Vidal reminded us that they are still selling raffle tickets for jewelry and the scarf. The drawing will be held at Founder's day and you can contact any member of Xi Alpha Omicron for tickets. Anne-Marie also mentioned that Blue Star Mothers still need pringle can lids (small and long). Dianne Bagshaw of Xi Alpha is still collecting old Christmas cards. Preceptor Rho is also collecting pop tops Pat McCao mentioned that she volunteers at the Ronald McDonald house and that they are have a fundraiser on March 27th at the Marriott Pyramid North from 6pm to 10pm. This event is the 4th Annual Girls Night Out. There are flyers at the back of the library to take back to your chapters.
Next City Council meeting : April 6, 2009 at Cleveland Middle School Library at 7:00pm. A special meeting will be held on Monday, April 20th for the election of new City Council officers for 2009-2010. The next executive board meeting will be held April 5, 2009 at 11:30am at Chris Thorsons’.

The City Council of the Albuquerque Beta Sigma Phi met at Cleveland Middle School at 7:06pm. Mary Gilliland, Vice President, led the Opening Ritual. An announcement was made that Bill Ross passed and that there is an article on our website.
ROLL CALL: 45 members from 24 chapters were present. A quorum was present .
INTRODUCTION OF GUESTS:
Peggy Jourden - 2nd Vice President, introduced guest chapters for January : Psi Master, Laureate Alpha and Eta Theta . February guest chapters will: Xi Gamma Eta, Eta Gamma and Laureate Alpha Epsilon.

OFFICER REPORTS:
1st Vice President - Mary Gilliland: Reminded all sisters to come to the the Beta Sigma Phi workshop on January 24, 2009.

Treasurer's Report - Cinda Fairfield: Treasurers report ending December 31,2008 was distributed to all chapters by email sent on 1- 2-2009. Balances for each account are as follows: Operating Fund: $3,774.87; Reserve Fund: $1,945.69; Money Market: $5,866 .33 and the CD : $2,019.76. The council is still awaiting a final report on the Honors Luncheon.

Corresponding Secretary - Chris Thorson: received a thank you card from Robin Chall to all the sisters for all their cards, concern and thoughtfulness concerning the death of her brother, Matthew Webb. Chris also read a letter that she received from Anne Hayward since she was unable to attend tonight's meeting. The topic of this letter was Anne's concern about the Albuquerque Beta Sigma Phi website and the lack of use of this website. This website has been up and running for eight months and only 13 chapters have loaded information on their page. Anne is creating a questionaire that will be distributed to every chapter, asking for each chapter's general information: date and time of meetings, whether the chapter is looking for new members and yearly activities and socials. She is also planning on going to meetings in the near future to take and gather pictures of each chapter for the website.

Executive Board Report - Chris Thorson, Corresponding Secretary: The Executive Board met at Debbie Davis' house at 11: 30am on January 3, 2009 . A discussion was held on creating a potential new member list from the names that have been given to the vice presidents of each chapter. Please do give these names to Mary Gilliland. Workshop, the scholarship application and the treasurer's report were reviewed. The next Executive Board Meeting will be held on January 31, 2009, Saturday, at 12:30am , at Monroe's Restaurant on Osuna.

To qualify for the Order of the Rose, a member must hold an Exemplar, Preceptor, Laureate of Master Degree and she must have been active for 15 years.

ANNOUNCEMENTS:
Xi Alpha Omicron announced the raffle they are having. The chapter is raffling off jewelry and the drawing will be held at Founder's day and you contact any member of Xi Alpha Omicrom for tickets. First prize, the sister will receive first choice of the raffle items and then second prize will get second choice. Xi Alpha Omicron is also having a book sale tonight at the back of the library. Mary mentioned that the Blue Star Mothers need pringle cans (small and long) with lids. Janice Swope of Laureate Alpha Epsilon announced that their chapter are selling tickets and raffling off a black scarf with a yellow rose and a black lap blanket with a yellow rose and the drawing will be held at Founders Day. The price of the tickets are $2.00 each or 3 for $5.00. A flyer about their raffle was placed in each chapter file this evening. Dianne Bagshaw of Xi Alpha announced that her chapter is collecting the front cover of old Christmas cards and will be sending them to St Jude's Ranch for Children. Please bring your old Christmas cards to her at the next City Council meeting.

An announcement was made prior to roll call that voting would be held during roll call as to whether the roster would be put on a CD for the 2009-20010 year.
ROLL CALL: 52 members from 25 chapters were present. A quorum was present . The 2009-2010 roster will be put on a CD. The motion passed: 42 -Yes and 4 - No.

Honors Luncheon - Maria Romero-McCue gave a short report , the complete report will be ready at the December meeting. She thanked all the chapters that assisted on Honors Luncheon and all the chapters that attended the luncheon. She also mentioned the music that was played by the 2 young ladies for us during our luncheon. They played for 2 1/2 hours with no lunch. Chris Thorson will send a Thank You card to these 2 sisters on behalf of Beta Sigma Phi.
Membership/Workshop Event - Peggy Jourden reported the Membership Workshop will be held on 1-24-2008 from 9:30am to 1:00pm at the Manzano Mesa Multigenerational Center; 501 Elizabeth SE. Please do bring a guest. A salad lunch wil be provided. Door prizes ( handmade ceramic items) have graciasly been donated by Joyce Mortimer's boss.
Valentine Dance - Storm Gonzalez of Delta Omega: reported that the dance will be at the Sheraton Uptown at Menaul and Louisiana on February 7, 2009 starting at 6:00pm. Dinner will be $36.00 and you will have a choice of: London Broil, Chicken or Salmon. Invitations and reservation lists will be in the chapter folders at the December City Council meeting.

Xi Delta is still selling their handmade Christmas cards to raise funds for their service project.
Diane Bagshaw of Xi Alpha mentioned that their chapter is still selling their cookbooks and they are $10.00 each and Wanda Dudley mentioned that her chapter is still selling Entertainment books for $35.00 each.
Please do stop by and look at the books that Xi Alpha Omicron is selling for a fund raiser at the back of the library.

CITY COUNCIL MINUTES
OCTOBER 6, 2008
The City Council of the Albuquerque Beta Sigma Phi met at Cleveland Middle School at 7:06 pm. Mary Gilliland, Vice President, led the Opening Ritual.
Janice Swope led a mini-discussion on the By-laws, Standing Rules and Tradition Changes since they were to be voted on this evening during roll call.
ROLL CALL: members from 25 chapters were present. A quorum was present. Currently Beta Sigma Phi has 264 active members
INTRODUCTION OF GUEST CHAPTERS: Peggy Jourden 2nd Vice President, introduced guest chapters : Beta Psi, Xi Alpha Omicron and Preceptor Iota.
MINUTES: It was moved and second to dispense with the reading of the August 2008 minutes. Mary Gilliland's email was corrected to read: momgill8@aol.com.
OFFICER REPORTS:
1st Vice President - Mary Gilliland: No new members were received from the website nor from International this past month. Please do contact the three names that were given out last month: Liz Telles, Patty Conejo and Debbie Redhouse. Several new names to add to the contact list are; Inez Dykes at 944-6880. She is in a retirement home and would need a ride. Address is 1501 Tijeras NE. Please contact: Carmela Aragon at 830-8344 and Rhonda Davis at 830-8186 or 830-8190, both of these ladies work at NM bank & Trust.
2nd Vice President - Peggy Jourden: Due to new personnel at APS -our organization has been classified into a new catagory (4) instead of (3). Catagory 4 is for Civic Clubs meeting at a school location and the annual bill for a civic club to meet is $200.00 not $100.00. It was moved and seconded to pay the amended bill of $200.00.
Treasurer's Report - Mary Gilliland : Treasurers report ending September 30, 2008 was distributed to all chapters by placing a copy each chapter folder. Reminder: all chapters must pay their city council dues and scholarship assessments to Lucinda Fairfield by the end of October or a late fee will be assessed.
Recording Secretary - Carol Lindenmuth: No report. Corresponding Secretary - Chris Thorsen: Read 3 pieces of correspondence : 1) Xi Alpha Omicron is requesting premission to have a book sale in the hall before and after the November City Council Meeting. They are also requesting premission to repeat this sale at the workshop this year. Premission was granted. 2) Xi Delta is requesting a table at the Honors Luncheon to sell handmade Christmas cards as a chapter fund raiser. It was suggested that the chapter discuss this with Maria Romero-McCue and the hotel. 3) Laureate Delta is requesting the approval of the City Council in the transfer of members Connie Pera Peritore and Thereasa Garcia from Laureate Kappa Chapter to Laureate Delta. These members prefer a daytime chapter and Laureate Delta are pleased to have them join their afternoon chapter. It was moved and seconded to approve the transfer of these 2 members.
The following cards were sent out : 1) Lily Timmons (Laureate Psi) - in hospice at the Albuquerque Rehab Hospital. 2) Joanne Rink (Preceptor Beta Epsilon) - h er mother passed away. 3) Kathy Stringer (Preceptor Iota) was ill. 4) Robert Zarn, husband of Margaret Zarn (Laureate Delta) had surgery.

COMMITTEE REPORTS:
Executive Board - Carol Lindenmuth, Recording Secretary: reported that the Executive Board met at Peggy Jourden's house at 11: 30am on October 4, 2008 . Mary will be overseeing the October City Council Meeting since Debbie will be in Washinton, DC . Cinda please bring a check or the checkbook to the Honors Luncheon . The next Exective Board Meeting will be held on November 2nd, Sunday at Chris Thorson's house at 11:30am.

EVENT REPORTS:
Honors Luncheon - Maria Romero-McCue gave a report and the formal invitations are in each chapters folder. The luncheon will be from 11:30am to 2:00pm on November 1, 2008 at the Marriott on Louisiana. A fashion show by Talbots will be held and if you bring one can of vegetables or fruit for the Roadrunner Food Bank to the luncheon you will receive a Talbots' coupon. Maria still needs 5 more models. Entertainment will be provided. Please RSVP to Maria by October 20, 2008. Janice Swope needs the names of the 2008-2009 Valentine Queen and the 2007-2008 Woman of the Year for the program. She also needs names for the Legacy daughter drawing.

Anne Hayward opened the discussion for the topic of putting the 2009-2010 roster on to a CD or the website (the website would be password protected). By next year the bound books that we have will be up to $8.00 or $10.00 each. By putting the roster on a computer disc we could save money and lots of trees. A roster committee can prepare the CD of the roster and then a CD will be distributed to each chapter. Janice Swope made a motion to put the roster on a CD for the year of 2009-2010. It was moved and seconded that this motion be taken back to each chapter and that the chapters vote. At the Novmber City Council meeting there will be council vote on the roster being put on a CD .
Anne also mentioned that the traffic on our website has been very slow for the past 3 weeks and she emphasized that this is our site and is our link to the outside world and an excellent way to entice prospective new members. She still needs more information from all chapters and more pictures too! The website is: www.abqbetasigmaphi.com.

Erica Samson the daughter of Linda Kirby, who had received the Beta Sigma Phi scholarship graduated Magnum Cum Laude.

The City Council of the Albuquerque Beta Sigma Phi met at Cleveland Middle School at 7:08 pm. Debbie Davis, President, led the Opening Ritual.
ROLL CALL: members from 26 chapters were present. A quorum was present.
MINUTES: It was moved and second to dispense with the reading of the May 2008 minutes.

OFFICER REPORTS:
1st Vice President - Mary Gilliland: Mary received no new pledge sheets from International this month, since the computer was down. Our sister, Debbie Redhouse (899-8738) is looking for a new chapter with meetings on the west side of town. The list of the City Council inventory (supplies owned) was handed out. The Sister Chapters are listed in the 2008-2009 roster. Mary has the tape (a copy) of "Once Upon a Time" and it explains how and why Beta Sigma Phi was started. It is very interesting and can be used for rushing or chapter programs. Mary still needs to hear back from several chapters, more information regarding the make up of each chapter (ages, when you meet, activities, etc). This information will help her to recruit new members. Email her at momgill8Aaol.com.
2nd Vice President - Peggy Jourden: We will be having our city council meeting for the entire 2008-2009 year at Cleveland Middle School. The City Council Workshop will be held on January 24, 2009 at Manzano Mesa Multigenerational Center from 10:00am to 1:00pm.
Treasurer's Report - Lucinda Fairfield: Motion was made and second to approve to pay the deficit from the 07-08 Founders Day event (overage of $233.68). Treasurer reviewed the report for the period ending July 31, 2008. Cinda reviewed the protocol for reimbursements of special events. No invoices to the treasurer, give them to the chairperson of the event. No cash to the treasurer. The treasurer will not have the checkbook at city council meetings. June 30, 2009 will be the deadline to submit receipts and invoices to the outgoing treasurer. After June 30, 2009, the treasurer will be unable to accept receipts for the past season and chapters will forfeit the right for CC reimbursements. A notice to this effect will go out to all chapters. Tonight (8-25-2008) will be the last night that chapters will receive the Treasurers report via a handout. In the future the report will be emailed to the president and the city council representative of each chapter. Teaser: how to save a $1000.00 under New Business.
Recording Secretary - Carol Lindenmuth: Asked members to review the City Council contact list and make corrections.
Corresponding Secretary - Chris Thorsen: Read 2 pieces of correspondence, both from Robin Chall. One was a Thank You card for being selected, Woman of the Year and the other was a Thank You card for the beautiful candlesticks. If you want a card to go out from city council, please sign the sheet, email or call her and she will send out the cards. Parliamentarian - Beth Talbert: Review of Roberts Rules as to how discussions should be held, time limits and waiting to be recognized by the Chair. The first time, the speaker will be allowed 2 minutes to address the chair and the second time one minute.
COMMITTEE REPORTS:
Executive Board - Debbie Davis , President, reported that the Executive Board met at Monroes Restaurant at 11:00am on August 23, 2008. Debbie explained how she would like to see how this years meetings to be run. She also mentioned that she will be having surgery on August 28, 2008. Chris Thorsen will also be having surgery on her eye. Nicole Brady, our city council sponsor mentioned that she was glad that the Olympics was over. She also discussed the cancellation of the noon show where Beta Sigma Phi could have received PR exposure. Debbie asked Nicole if she would write an article for us and Nicole said yes. The agenda for the 8-25-2008 City Council meeting was discussed.

Rosters - Anne Hayward from Alpha Chi provided chapters with their rosters. Anne handed all rosters out except to Preceptor Iota. Due to the reduced number of rosters ordered the cost of each roster increased to $5.75. Any roster changes are to be made in writing to Anne Hayward at 14500 Oakwood Pl NE, 87123 or email her at blumoon@comcast.net . Thank you Alpha Chi for the awesome job on the rosters!

She needs articles, this is everyones site and this site is an excellent way to attract new members to Beta Sigma Phi. A website committee will be formed in the near future to assist Anne with the upkeep of our site.

Service - Beth Talbert: made a suggestion as to how to spread out your disbursements and yet increase the number of toy for our Toys For Tots Drive in December. She suggested that one toy be bought in the months of September, October, November and December.

NEW BUSINESS:
Teaser: how to save a $1000.00 : Anne Hayward and Cinda Fairfield are suggesting that the roster for next year be put on CDs. By putting the roster on a computer disc we could save money and lots of trees. Think Green! Anne also mentioned that the roster could be added to the website and be password protected.
Approval of the 2008-2009 City Council Budget: Cinda reviewed the proposed budget, stating that the 2 biggest changes were Scrapbook and Chapter Women of the Year - each increased to $100.00. Debbie Davis asked if there were any questions to the proposed budget. There were no questions. A motion was made and second to accept the Proposed 2008-2009 Budget as is. The motioned passed with 42 ayes.
By-Law, Standing Rules, Traditions: Changes were review by Janice Swope. Janice stated that the proposed changes were discussed at the May 24, 2008 Advisory Board Meeting. Janice requested that these proposed changes be taken back to each chapter and have a chapter vote. At the October City Council meeting, these changes will be voted on. Each chapter will have a maximum of 2 votes per chapter, if 2 representatives are present. If one representative is present, that will be only one vote.
**Article III, Section B. Voting, #1. (page 70; 2007-2008) Representatives or alternate(s) are the voting members. Add: Each chapter has two(2) votes if representatives are in attendance.
**Article X, Finances, Section E. (newly added 2007-2008) To pay for the annual scholarship, members will be assessed $3.00. Add: per year due at the August City Council meeting.
**Article X, Finances, Section L. (new) Add #4. Excess New Mexico Convention Funds shall be held in a separate account.
**Standing Rule #2. (page 81; 2007-2008) ...It is requested that all motions be submitted in writing to any member of the Executive Board..Add: before their monthly meeting or 10 days...
**Standing Rule #13 (page 84; 2007-2008) Change the time of drawing to (add: Honors Luncheon) rather than Founder's Day. Remove the word "outgoing" in two places.
**Standing Rule #14. Committees, ix (page 85; 2007-2008) Add: Mother Daughter Legacy Tea.
**Traditions #7. (page 88; 2007-2008) ...The committee will accept names for the Legacy daughters to be drawn at Add: Honors Luncheon.**Traditions #11 (new) Add: When a chapter in Albuquerque Beta Sigma Phi disbands or ceases to exist, the Beta Sigma Phi properties should be given to City Council to be used for new chapters or the Council.
